LicenseTrack is a self-hosted web application for software license procurement and lifecycle management. Built by someone who worked on both sides of the license transaction — first at a value-added reseller, then in corporate license management — it provides the single source of truth that spreadsheets and general ordering tools usually lack. It tracks software requests through sourcing, purchasing, entitlement, renewal, and retirement, keeping quotes, suppliers, costs, and documents attached to each license record.
The license registry supports column grouping, generated PO line numbers, custom fields, completeness checks, contracts, secondary renewal contacts, and full audit history. Renewal chains preserve the license lineage across terms, including coterm opportunities and successor license adoption. Companies and cost centres are managed as canonical reference data with aliases and safe merges. Teams get Admin, Editor, and Viewer roles, optional OIDC/SSO, in-app notifications, and optional SMTP alerts. CSV import and export cover mapped imports from external tools, and operational spend and forecast reports are built in, along with scheduled backups and restore.
Unlike enterprise SAM suites such as Flexera One, Snow License Manager, or ServiceNow SAM, LicenseTrack does not scan networks or reconcile deployments against entitlements — it is the procurement and governance layer that complements discovery tools. It runs on Docker Compose, Podman, or as a native systemd service on Linux, with a React frontend, FastAPI backend, and SQLite storage. The source is available under a custom source-available license: free for internal self-hosted use, with a commercial license required for hosted services or tracking third-party licenses.
